Refund & Cancellation Policy
BILLING PROTOCOL // REVISED: AUGUST 2026 // APPLICABLE TO ALL SPRINT RETAINERS & MILESTONE AGREEMENTS
MILESTONE-TIED ENGINEERING BILLING STRUCTURE
Because mechanical engineering, CAD modeling, and FEA simulation represent highly customized, non-fungible professional engineering labor, work is structured around explicit milestone deliverables.
Custom Labor & Non-Refundable Sprints
Engineering projects involve dedicated time from senior CAD specialists, simulation architects, and tooling engineers. Once engineering hours are deployed on active modeling, geometric calculations, or mesh generation, those applied labor hours cannot be refunded retroactively.
Milestone sign-offs submitted by the client confirm technical satisfaction with that stage's deliverables and render that milestone fee fully earned and non-refundable.
Client Cancellation & Prorated Accounting
Clients maintain the right to cancel an active project at any time by providing written notice via email to info@mecvian.com.
Upon receipt of written cancellation notice:
- MECVIAN immediately ceases all active engineering hours on the project.
- An itemized accounting statement is generated calculating exact engineering hours incurred within the current milestone up to the timestamp of notice.
- Any unearned retainer or prepaid milestone funds remaining after deducting accrued labor and third-party simulation compute costs are refunded within 10 business days.
- All completed and work-in-progress CAD files, intermediate STEP models, and drawing drafts generated up to cancellation are packaged and transferred to the client.
Project Pauses & SOW Scope Revisions
If a client requires a temporary project freeze (due to internal physical prototype delays, budget rescheduling, or external supplier changes), the project can be placed on formal hold for up to 60 calendar days without penalty. Prepaid milestone balances remain credited to the client's account.
Technical Rectification Guarantee
If delivered CAD models or 2D manufacturing drawings fail to comply with the agreed geometric tolerances, ASME Y14.5 drafting rules, or functional constraints defined in the written SOW, MECVIAN provides complimentary geometric rectification sprints until full specification compliance is satisfied.
